1 General
1.1 The Auditorium, The Benson Hall, The Foyer, The Gallery, The Courtyard,
The Boardroom, and All Meeting Rooms (hereinafter called "the conference
centre") are available for the presentation of concerts, and most
forms of the creative and performing arts as well as for seminars, conventions,
conferences, and catered functions. (except The Main Auditorium - no food
permitted)
1.2 Any reference to The Conference Centre or any venue therein by the
hirer in any published matter, either written or electronic shall refer
to "The Adelaide Congress Centre" by its full name.
1.3 The Venue management Office (herein called "Venue Management")
reserves the right to refuse any booking without the neccesity to give
reasons for such refusal to the hirer.
1.4 Venue Management must be informed of the purpose for which any function
area is to be used at the time the booking is made.
1.5 Venue Management does not warrant that the function area being hired
to the hirer is suitable for the type of function being undertaken by
the hirer.
1.6 The terms and conditions and hire fees and charges contained herein
may vary from time to time but any such variation shall not negate this
agreement and Venue Management shall not be under any obligation to explain
the reasons for any such changes.
2 Tentative Bookings
2.1 Except at the discretion of the Venue Management Office, Tentative
Bookings shall not be held longer than twenty one days after which time
the hirer must confirm his / her intention to proceed with the booking.
If the hirer has not done so, Venue Management reserves the right to cancel
the booking.
3 Confirmed Bookings
3.1 On the receipt of the hirer's intention to confirm a booking, a hiring
agreement may be forwarded to the hirer stipulating the charges and non-refundable
deposit payable.
3.2 For the booking to be confirmed the hiring agreement must be signed
and returned by the stipulated date together with the agreed deposit if
required.
3.3 Venue Management may disregard any booking that is not confirmed
within the terms of this agreement and reserves the right to re-let unconfirmed
bookings.
4 Hirers Technical Requirements Form
4.1 Form C provides Venue Management with the information needed to present
the Hirers Event efficiently. This should be completed and returned at
least one month prior to the event.
5 Cancellation of Booking
5.1 A hirer wishing to cancel a booking after it has been confirmed,
remains liable for all charges due.
6 Box Office
6.1 Seating Plans and tickets must be approved by Venue Management prior
to going on sale.
6.2 The sale of standing room in the auditorium in conjunction with any
concert or staged event is strictly prohibited.
7 Front of House and Technical Staff
7.1 The hirer shall only use the services of technical and other staff
engaged by Venue Management.
8. Rehearsals / Set-ups / Sound-checks
8.1 All technical rehearsals and set ups must be supervised by the Venue
technician. In the case of concerts, a three hour rehearsal between the
hours of 9am and 5pm on the same day is included in the hire fee. Extensions
of this time will be charged to the hirer.
8.2 Non-technical rehearsals must be under the supervision of a member
of Venue Management at front of house rates.
9 Programmes and Publicity
9.1 Staff engaged by Venue Management will sell any session and / or
souvenir programmes supplied by the hirer for the session / performance.
The cost of employing programme sellers will be borne by the hirer who
shall in addition to such cost pay to Venue Management 5% of the gross
sales income from sales.
9.2 Only limited front-of-house displays areas are available. All programmes
and displays must be approved by Venue Management and all displays are
to be removed directly after the final show of an event.
10 Merchandise
10.1 A hirer shall not put on sale any items in any area of the Conference
Centre without prior permission from Venue Management.
10.2 Venue Management will receive 7.5% of the gross sales income on
printed matter and 7.5% of the gross sales on video's, CD's etc.
11 Television / Film / Radio / coverage/recording Fee
11.1 Where Venue Management approve television transmission, filming,
radio broadcasting or recording from the Conference Centre, a fee may
at the sole discretion of Venue Management be charged in addition to any
direct costs for staff and facilities.
11.2 Venue Management shall have absolute discretion to decide whether
or not any function held in the Conference Centre shall be broadcast in
any form, and shall be entitled to impose any conditions it sees fit in
relation to the televising or broadcasting of a function.
11.3 The costs related to the exercise of external media will be charged
to the hirer, including any additional equipment necessary for the same.
11.4 Any additional expenses are the responsibility of the hirer.
